From Chaos to Clarity

When Growth Started Breaking the Business

As White Maple took on bigger remodeling projects, the cracks started to show. Selections were not completed before construction started. Homeowners were shaping the process on the fly. Schedules slipped. Labor stretched. Profit leaked out of every gray area. Ryan and Tom realized they were trying to bend their business around each client instead of leading projects with a clear process of their own.

“I always felt like the customers were really dictating to us how they wanted their project to be run.”

The Turning Point

One of the biggest mindset shifts was simple, but powerful: the homeowner should not be inventing the system. Ryan and Tom began building a pre-construction process that required decisions earlier, clarified expectations earlier, and made the whole job easier for the field to execute. That included tighter handoffs, better collaboration, clearer roles, and more complete information before work began.

“It’s our business that’s actually doing this project, and we’re going to have to run this the way that works for our business.”

“Every hour was just a different fire that I had to put out before.”

Better Numbers. Better Life.

White Maple went from about $1.5 million in annual revenue to about $3.5 million, with better margins and paid pre-construction work built into the model. Ryan and Tom also estimated that the old inefficiencies were costing them around $100,000 a year in profit bleed before they made the shift. Before, Ryan was waking up at 5 a.m. to catch up on office work. Lunch got interrupted by the next emergency. Nights were spent thinking about what had to be fixed tomorrow.

Building the Business Earlier

Looking back, Ryan and Tom do not wish they had chased more volume sooner. They wish they had slowed down earlier, put systems in place sooner, and built the company for the kind of work they actually wanted to do. That shift gave them more control over project fit, clearer expectations with clients, and a business that can grow without dragging chaos along with it.

“If you wait, your business just grows in the wrong way.”
